The Kansas City Black Expo is scheduled to celebrate our Annual celebration with 3 days of vending opportunities on August 1-3, 2025.

Vendor application outlines required documents, fees, terms and conditions.

Cashless sales are highly recommended (CC, Cash App, etc.)

Key Items for Potential Vendors: 

  • Vendors will be selected based on menu selections and appropriate paperwork.
  • We are looking for diverse ethnic cuisine and/or Dessert Only Vendors. Food Trucks are required to submit a photo and menu in advance for pre-approval to: blackownedbusinesskansascity@gmail.com.
  • Food Vendors must comply to City of Kansas City Fire Marshall rules in order to participate. Please download and read.
  • Vendor Fees: Start at $300 for TREE Days
  • A Tent is REQUIRED! You must provide your own  tent with a minimum of 20 pounds per leg.
  • You are required to provide your own electrical cord of at least 100 ft or more; and night lighting. Food vendors can purchase electricity or bring quiet generator.
  • It is highly recommended for vendors to purchase the Purchase Protection Plan online when registering your application. This applies even if you are paying by Check. This is only means for consideration of a refund. The Festival will not directly issue refunds.
  • No Refunds for cancellation due to Increment Weather or No Shows.
  • All applications must be registered online, to include Check payments.
  • No Personal or Business Checks will be accepted after June 30, 2025 (Money Orders and Cashier Checks only).

  • Kansas City Black Expo has exclusive rights to sell ALL beverages – Vendors in violation of this term will be asked to leave immediately and No Refund will be granted.
  • Online payments will incur a fee.

FAQ’s

 

  • Black Expo Family Reunion has exclusive rights to sell ALL beverages – Vendors in violation of this term will be asked to leave immediately and No Refund will be granted.

A description of all items to be sold MUST be submitted with your application. The Black Expo Family Reunion MUST be notified of any changes not less than fourteen (14) days before the opening day of the Black Expo. Only foods listed can be sold.

 

Security will be provided for the Kansas City Black Expo  during after-hours only, starting at 9:00 PM, Friday, August 1, 2025, and concluding on Sunday, August 3, 2025, at 7:00 AM. Vendor fees include security patrol. Please ensure valuables are secured overnight. The Kansas City Black Expo Committee, The Black Owned Business Kansas City Foundation, the City of Kansas City, the Board of County Commissioners, and affiliated parties will not be liable or responsible for, nor will they act as insurers against, theft, loss, or damage to your property from any source, nor for any other damages incurred by you, the Exhibitor/Vendor, or person attending the event, at any time.

Each Exhibitor/Vendor shall provide such additional security, at their own cost and expense, as they deem appropriate for the protection of their goods and/or merchandise. The Kansas City Black Expo Committee,  The Black Owned Business Kansas City Foundation, the City of Kansas City, and affiliated parties shall be held harmless in the event of any damage, harm, or loss of any property owned by, leased to, rented to, or associated with the Participating Company/Organization.
